This notice applies to visitors to pronix.ai, prospective and current enterprise clients and partners, event attendees, and individuals who contact us through our forms or email addresses. When we act as a service provider to a client (for example, delivering AI or contact-center services on the client's platforms), we process personal information as directed by that client under a written Master Services Agreement or Data Processing Addendum; that client's privacy notice governs their end users' personal information.
2. Information we collect
We collect the following categories of personal information:
- Contact information you submit through our forms — name, business email, company, role, country, phone (optional), and message.
- Communications — emails, calls, meeting notes and materials you share with us during a sales or engagement conversation.
- Marketing preferences — the topics you asked us to contact you about, event registrations and content downloads.
- Website usage — pages viewed, referrer, approximate location (from IP), browser and device details, and, where consent is required, cookies or similar technologies.
- Recruiting information — where you apply for a role, the information in your application and any references you provide.
We do not intentionally collect sensitive personal information through our website. Please do not include payment card data, government-issued IDs, or health information in a contact form.

- Provide the services requested by our clients under our agreements.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

Where personal information is transferred outside your jurisdiction (for example, from the EEA / UK to the United States or India), we rely on lawful transfer mechanisms such as Standard Contractual Clauses and equivalent safeguards, and we require our subprocessors to do the same.
7. Data retention
We retain personal information only for as long as reasonably necessary for the purposes described in this notice, to meet contractual and legal obligations, and to resolve disputes. Contact-form submissions are typically retained for up to 36 months for sales follow-up unless you ask us to delete them earlier.
8. Security
We maintain administrative, technical and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration and destruction, including access control, encryption in transit, secure development practices and vendor due diligence. No system is perfectly secure; we work to close gaps quickly when they are identified.
9. Your rights
Depending on your jurisdiction, you may have the right to access, correct, delete, restrict or object to certain processing of your personal information, the right to portability, and the right to withdraw consent. To exercise any of these rights, email privacy@pronix.ai. We will respond within the timeframes required by applicable law and may need to verify your identity before acting on a request.
EEA / UK residents may also lodge a complaint with a data protection authority. California residents may exercise applicable privacy rights and designate an authorized agent to act on their behalf.

Our website and services are not directed to children under 16, and we do not knowingly collect their personal information.
